Student Info

Admit students, maintain their records, assign classes, mark attendance, promote learners to a new academic year, graduate final-year students and use JestEdu recovery and bulk tools.

Recommended workflow for a new schoolAdd or import students → verify them in Student List → ensure each learner has the correct class and section → add parent contacts → start attendance. At the end of the academic year, use Jest Bulk Promote.

The Student Info section is the main area for student records and movement. The exact options available can depend on the account permissions and enabled JestEdu modules.

Subject Wise AttendanceTeachers mark attendance for a particular class, section and subject. A teacher must clock in before marking the lesson.

Restore Missing StudentsRecovery tool for students who are unexpectedly missing from normal views.

Be careful with Delete, Cleanup, Recovery and Reassignment toolsThese tools can affect historical or academic-year records. Verify the student, academic year, class and section before making a permanent change.

How to admit or add a new student

Use this when admitting one learner manually.

Open Add Student

From the sidebar, go to Student Info → Add Student.

Complete Academic Information

Select the correct Academic Year, Class and Section. Enter or confirm the Admission Number, Admission Date, roll number where required, and group where your school uses one.

Complete Personal Information

Enter the learner's First Name, Last Name, Gender, Date of Birth and any other relevant personal fields. Add a student photo where available.

Add contact and health information

Add the student's email/phone where applicable, current and permanent address, and medical details such as blood group when the school maintains them.

Complete the remaining tabs

Review Parents & Guardian Info, Document Info, Previous School Information, Other Info and Custom Field. Parent/guardian contact information is especially useful for SMS, WhatsApp, result access and other parent services.

Save Student

Review the important details, then click Save Student. After saving, open Student List to confirm that the learner appears in the correct class and section.

Save Student
TipBefore saving, double-check the academic year and admission number. Correcting a wrong class is easy; duplicate admission numbers or creating a learner under the wrong year can cause avoidable cleanup later.

Student List: view, edit and manage a learner

Go to Student Info → Student List. The list shows key information such as photo, admission number, student name, class/section, date of birth, gender, student status and the academic-year record status.

Assign or reassign the learner to the correct class/section.

Open the student's full record.

Correct names, contact details, date of birth and other editable student information.

Set Record Inactive

Make the learner's record inactive for the current academic year without treating the student as globally withdrawn.

Set Record Active

Restore the current academic-year record to active where appropriate.

Withdraw Student

Use when a student leaves the school and should be recorded as withdrawn.

Use for a learner who has completed the school programme.

Student Status vs Record StatusA student can have a general student status and a separate status for the current academic-year record. Use the correct action depending on whether the learner has left the school entirely or only needs an academic-year record changed.

How to mark manual Student Attendance

Go to Student Info → Student Attendance. JestEdu separates the school day into Morning (IN) and Closing (OUT) attendance.

Select Class, Section and Date

Choose the class, section and attendance date, then click Search.

Confirm the attendance period

During the morning, the page shows that Morning Attendance is active. Closing attendance becomes available according to the configured closing time. In the supplied setup, Closing (OUT) opens from 4:00 PM, Africa/Accra.

Mark each learner

Set each learner as Present, Late, Absent or Half Day. Add a note where useful.

Record Closing (OUT)

At the appropriate closing time, record the students' OUT attendance so the day's attendance history and parent notifications remain accurate.

Closing attendance may not be available yetIf JestEdu says Closing Attendance Not Yet Available, do not treat it as an error. Wait until the configured closing time, then record Closing (OUT).

How teachers mark Subject Wise Attendance

Subject attendance records attendance for a specific lesson. The teacher must clock in first.

Open Subject Wise Attendance

Go to Student Info → Subject Wise Attendance.

Select the lesson

Select Class, Section, Subject and the attendance date, then click Search.

Clock In

If the page shows Clock in required, click Clock In. Attendance cannot be marked for the lesson until the teacher has clocked in.

Mark the students

After clock-in, mark each student as Present, Late, Absent or Half Day. You may also use Mark Holiday when appropriate.

Clock Out

When the lesson is complete, use Clock Out as required by the school's subject-attendance workflow.

Promote students to a new academic year with Jest Bulk Promote

Use Student Info → Jest Bulk Promote when moving the whole school from one academic year into the next. It supports normal promotion, repeaters/retained students, skipped classes and graduation.

Before you run a whole-school promotionConfirm that the destination academic year, classes and sections already exist. Review repeaters and final-year classes carefully. Promotion changes many student records at once.

Select Current Academic Year

Choose the year the students are currently enrolled in, for example 2025 [2025/2026].

Select Promote To Academic Year

Choose the destination, for example 2026 [2026/2027], then click Load Classes.

Choose a Promotion Type for each class

For each class, choose Skip this class, Next Class, or Graduate. If you select Next Class, also select the destination class and section.

Mark Retain / Repeat students

Tick individual students who should not follow the class-level promotion. Choose the Retain Destination Class and Retain Destination Section. A ticked student's retain instruction takes priority over the class-level choice.

Graduate final-year classes

For a final class, choose Graduate when everyone in that class has completed school. If individual exceptions exist, review them before proceeding.

Run Bulk Promotion

Review every class one last time, then click Run Bulk Promotion.

Example logicIf BASIC 1 - A is set to Next Class → BASIC 2 - A, all students move to BASIC 2 - A except any learner ticked under Retain / Repeat students. A retained learner can remain in BASIC 1 - A instead.

Other useful Student Info tools

Unassigned Student & Reassign Class/Section

If a learner exists but is not showing under the expected class, first check Unassigned Student. If the learner is assigned to the wrong class or section, use Assign Class from Student List or the dedicated Reassign Class/Section tool.

Student Export

Use Student Export when management needs a downloadable student dataset. Check the data before sharing it because student exports can contain personal information.

Bulk Holiday/Midterm

Use this when attendance should reflect a school-wide or class-wide holiday/midterm period instead of marking every learner individually.

Parent & Sibling Manager

Use this to keep family relationships organised, especially where siblings share the same parent/guardian. Correct parent contacts improve communication and parent-facing services.

Restore Missing Students & Student Recovery Center

If a student unexpectedly disappears from the normal working list, use the recovery tools before creating a duplicate student. Search by admission number and verify academic-year/class status first.

Today's Admissions & Student Enrollment

Today's Admissions provides a quick view of newly admitted learners for the day. Student Enrollment provides an enrollment-oriented summary for school administration.

Graduate to Alumni

Use this after students have completed the school programme and should move into the school's alumni records. Do not use it simply to change a learner's class.

Fastest Student Import

For a large admission list, use the bulk import workflow instead of entering every learner manually. We will document the exact template columns and validation rules in a dedicated import section when supplied.

When a student looks “missing”Do not immediately add the learner again. Check Student List filters, Unassigned Student, current academic-year status, Restore Missing Students and Student Recovery Center first. This helps prevent duplicate student records.

Set the final class Promotion Type to Graduate, review exceptions, then run the promotion.

Student Info checklist

  • Every learner has a unique admission number.
  • The correct academic year, class and section are assigned.
  • Names, gender and date of birth are checked.
  • Parent/guardian contacts are captured where available.
  • Morning and Closing attendance are recorded at the correct time.
  • Subject teachers clock in before lesson attendance.
  • Repeaters are identified before bulk promotion.
  • Final-year classes are graduated only after review.
  • Recovery tools are checked before creating a duplicate student.
